We run a pretty tight ship but things are getting busier so we need some additional administrative support.  The role will be reporting into the Office Manager and supporting our Managing Director.

The role will entail a variety of different administrative tasks which will change depending on what we have going on at the time, but you can expect to help with:

  • General admin (answering the phones, handling inbound emails, scanning, photo copying, sorting out paperwork, filing, stationery supplies)
  • Liaising with our operatives located out in the field and helping with whatever they need – be it sorting a big order of paint or taking a query on an invoice
  • Processing all kinds of paperwork – we have paper sheets, google drives, finger print recognition data, site logs and all kinds of data in various places which needs to be cross checked and kept up to date
  • Preparing invoices for our staff, inputting supplier invoices and general day to day accounting data entry
  • Verifying new members of staff and getting them set up with all the information they need to be able to their job, as well as ensuring we have all we need from them
  • Arranging & coordinating training for our staff
  • Assisting with Health & safety documentation

Who should apply?
We are a small business but we run a very professional operation.  Our office staff are the backbone of our business and we hire carefully.  We are looking for someone who can slot into our already successful business, support the operation we have and add value in other areas.

Here is what you need to be to be successful:

  • Have a sound knowledge of Excel & Outlook, in particular Excel – this is an absolute must
  • A team player, we all help each other and genuinely have the best interests of the business at the heart of everything we do
  • Super organized!  If you like making lists and know exactly what you have to do, where and by when then you’ll get along well with us
  • You’ll be able to cope with fluctuating workloads; some weeks are busier than others and you will need to be able to look at the lists of jobs and prioritise accordingly
  • A good communicator – and that is at all levels.  You’ll be liaising with our site operatives, many of whom don’t speak much English so patience is required.  You’ll also be liaising with our clients and suppliers.  Good spelling and grammar are paramount.  You’ll need the ability to confidently communicate at all levels
  • Self-motivated – there may be times you are alone in the office so you’ll need to be able to crack on with what needs to be done without someone drip feeding you tasks
  • Trustworthy, reliable and punctual – you will have access to all of our innermost workings from day one, we need to be able to trust that you will treat that with the respect it deserves.  We need people who are going to be there when they say they will and are punctual
  • Into the detail – if you’re not into the detail, don’t apply as we won’t get along!  We take a structured and methodical approach to our work.  Much of it is complex and intricate and we like to avoid having to go back and fix mistakes
